Purchase Orders

A purchase order (PO) is your formal request to a supplier: these items, these quantities, this price, delivered by this date. In OSOSS the PO also drives your stock - receiving against it is what increases inventory.

The purchasing cycle

Keeping the steps separate is what lets you handle partial deliveries, disputed quantities, and month-end supplier statements cleanly.

Create a purchase order

  1. Go to Purchases > Purchase Orders and click Create.
  2. Choose the vendor.
  3. Add line items with quantity and agreed cost - the items table computes totals as you type.
  4. Set the expected delivery date and the receiving branch.
  5. Save. Print or send the PO to the supplier.
Note: Saving a PO does not change stock. Stock moves when goods are received - see Stock Receiving Orders.

When goods arrive

Receive against the PO (fully or partially). Received quantities update inventory and average cost; the remaining open quantity stays on the PO until fulfilled or closed. The related bill can be created from the PO so pricing carries over without retyping.

Tip: The has receive quantity after date and open-quantity filters surface POs that are late - chase suppliers from the list, not from memory.

Every action on this page, step by step. What you see depends on your role, so a control your account is not set up for simply does not appear.

Export the list

  1. Filter and choose your columns first - the export mirrors exactly what is on screen, not the whole table.
  2. Click Export All.
  3. The file downloads as a spreadsheet: one row per record, your visible columns in your order.
