Refunded Invoices

A refund reverses a sale: money goes back to the customer, and - when the goods are resellable - stock goes back on the shelf. OSOSS records every refund as its own document linked to the original invoice, so your sales history stays intact and auditable.

Full and partial refunds

You can refund an entire invoice or only some of its lines. A partial refund keeps the original invoice alive with its remaining items; the refund document lists exactly which items and amounts were returned.

Refund an invoice

  1. Find the original invoice (Sales > Invoices) and open the row's Refund action - or go to Refunded Invoices and click Create, then pick the invoice.
  2. Select the items being returned and their quantities. The refundable amount calculates automatically, respecting the discounts and taxes of the original sale.
  3. Choose where the money goes: back to the original payment method, cash, or customer credit.
  4. Decide the stock handling - resellable items return to inventory; damaged goods can be excluded.
  5. Confirm. The refund appears in this list, the original invoice shows its returned state, and accounting entries post automatically.
Note: Refunds always reference their original invoice. This is what keeps reports honest - gross sales, refunds, and net revenue each stay visible instead of silently overwriting one another.

Reviewing refunds

The list supports search, filters, saved filters, and Export All. Open any refund to see its items, amounts, the original invoice link, and who processed it. Use a date-range filter to review refund volume per branch or per seller - a sudden spike is worth investigating.

What you can do on this page

Every action on this page, step by step. What you see depends on your role, so a control your account is not set up for simply does not appear.

Add a record

  1. Click Add above the table - some pages label it New or show a + icon.
  2. Complete the form. Required fields carry a red asterisk and the form will not submit until they are filled.
  3. Click Save. Validation runs on submit; any field that fails shows its message directly beneath itself, and the form scrolls to the first problem.
  4. You land back on the list with the new record in place.

This form carries 24 fields, grouped into sections and tabs so you meet them a few at a time. Only the required ones block saving - fill those, save, then come back and enrich the record. Every field is listed under Form fields in the reference below.

Searchable dropdowns (customer, product, account, branch...) read live data - start typing to filter rather than scrolling. Most also let you create the missing record inline so you don't lose the form you are in.

Edit a record

  1. Open the row's actions menu at the end of the row and choose Edit, or open the record and use Edit there.
  2. The form loads with current values. Change only what you need.
  3. Click Save.
Documents that are already posted to accounting, paid, or fulfilled lock the fields that would change history. That is deliberate - issue a refund, a credit note, or an adjustment instead of rewriting the original.

Open and read a record

  1. Click the row, or choose View in the row's actions menu.
  2. The detail page shows the record's own fields, its related documents, and the actions that apply to it in its current state.
  3. Use the breadcrumb or your browser's back button to return - your filters, sort, and page position are preserved.

Export the list

  1. Filter and choose your columns first - the export mirrors exactly what is on screen, not the whole table.
  2. Click Export All.
  3. The file downloads as a spreadsheet: one row per record, your visible columns in your order.

Print or save as PDF

  1. Choose Print in the row's actions menu, or open the record and use Print there.
  2. Pick the template or format if you are prompted.
  3. Your browser's print dialog opens - print it, or choose Save as PDF as the destination.
