POS Orders

Every sale rung up at a register lands here. POS Orders is the dashboard-side view of everything your cashiers sell through the POS app - a live, searchable record of each transaction, tied to the session, branch, and cashier that produced it. While the register app is where sales happen, this page is where owners and managers watch them happen.

How POS orders work

A POS order is created the moment a cashier completes a sale on a register device. Because register sales are paid on the spot, the order and its payment arrive together - there is no unpaid balance to chase, unlike website or manual invoices. Each order carries its context with it: which branch it was sold at, which session (register shift) it belongs to, and which POS user handled it.

The page gives you separate views for orders that need attention:

ViewWhat it shows
OrdersCompleted register sales
PendingOrders started but not yet finalized - for example, held or awaiting completion
CanceledOrders that were voided before completion
Note: Refunds and exchanges are not shown here as edits to the original order. They are recorded as separate documents - see Refunded Orders and Exchange Orders - so the original sale stays intact for auditing.

Reading the list

The list works like every list in OSOSS: use the manage-columns icon at the right edge of the header row to add, remove, or reorder columns; combine filters and press Save Filter to keep a view you use daily; switch on focus mode to hide the navigation while you work; and control paging with the rows-per-page selector and page jumper.

Click any row to open the order's full details - its items, amounts, payment breakdown, and history.

Review a day's register sales

  1. Go to Sales > POS > Orders.
  2. Filter by the branch and the date you want to review.
  3. Scan the list, or open individual orders to inspect items and payments.
  4. Switch to the Pending and Canceled views to catch anything that did not complete normally.
Tip: A high count of canceled orders at one register is worth a conversation - compare it against the same cashier's numbers in the void reports.

Export the current view

  1. Apply your filters and choose your columns with manage columns.
  2. Press Export All - the file contains exactly the rows matching your filters, with exactly the columns you selected.

This makes end-of-day or end-of-month extracts repeatable: save the filter once, then export whenever you need the data.

What you can do on this page

Every action on this page, step by step. What you see depends on your role, so a control your account is not set up for simply does not appear.

Open and read a record

  1. Click the row, or choose View in the row's actions menu.
  2. The detail page shows the record's own fields, its related documents, and the actions that apply to it in its current state.
  3. Use the breadcrumb or your browser's back button to return - your filters, sort, and page position are preserved.

Actions on a single record

These appear in the row's actions menu and on the record page, and only when the record's current state allows them:

Export the list

  1. Filter and choose your columns first - the export mirrors exactly what is on screen, not the whole table.
  2. Click Export All.
  3. The file downloads as a spreadsheet: one row per record, your visible columns in your order.
