Receipts

Receipts is where small purchases with a paper slip are captured - a taxi, a hardware-shop run, fuel, refreshments. Instead of an envelope of slips reconciled at month end, each one is photographed, coded to an account, and posted as it happens.

What a receipt records

The receipt image is the whole point. A photographed slip is the evidence that turns a line in your accounts into a defensible deduction, and it does not fade in a drawer. The list shows merchant, date, total, status and the account and category each one was coded to, so a month of small spending can be reviewed in one screen.

Capture a receipt

  1. Photograph the slip at the moment of purchase, before it is folded into a pocket.
  2. Enter the merchant exactly as printed and the date on the slip, not the date you are entering it.
  3. Enter the subtotal and total. The gap between them is the tax, and it needs to be right for tax reporting to work.
  4. Code it to an Account and a Category. This is the field people rush, and it is the field that decides whether your expense reports mean anything.
  5. Write a note explaining the business reason - not "taxi" but "taxi to supplier meeting, Shuwaikh".
  6. Save.
Tip: Capture on the day. Small-purchase records fail on memory, not on process: nobody can code a slip correctly three weeks later, and an uncoded slip becomes miscellaneous expense, which tells you nothing.
Note: Receipts and Expenses overlap. Use Receipts for small, slip-backed purchases you want photographed; use Expenses for larger, invoiced spending that needs a proper document and payment tracking.
