Customer Companies

A customer company is the organisation behind individual customers - a school whose staff order lunches, a hotel whose departments buy supplies, a corporate account with several people placing orders. It lets many customers roll up to one relationship.

What a company record holds

The group is the field that does the work. Assigning a company to a wholesale or corporate group means every customer belonging to it gets that group's prices without anyone remembering to apply a discount - the pricing follows the relationship rather than the person on the phone.

Set up a corporate account

  1. Create the company with its legal name, since that is the name that must appear on invoices they will pay through their own accounts department.
  2. Assign the Group that carries the agreed pricing. Get this right before the first order, because retroactively repricing invoices is far harder than setting the group.
  3. Add the account contact's mobile - the person who answers when an invoice is queried, not necessarily the person who orders.
  4. Link the individual customers who belong to the company.
  5. For period billing, use consolidation invoices so the company receives one document rather than one per order.
Tip: Filter invoices by company and export before any account review. Total spend, order frequency and average order value across the whole company is the conversation a corporate customer wants to have when negotiating - and the one you should walk in already knowing.
Note: The company is a grouping, not a customer. Orders and invoices still belong to individual customers; the company is how you see them together, price them consistently, and bill them as one.

Every action on this page, step by step. What you see depends on your role, so a control your account is not set up for simply does not appear.

Add a record

  1. Click Add above the table - some pages label it New or show a + icon.
  2. Complete the form. Required fields carry a red asterisk and the form will not submit until they are filled.
  3. Click Save. Validation runs on submit; any field that fails shows its message directly beneath itself, and the form scrolls to the first problem.
  4. You land back on the list with the new record in place.

Fields on this form: Group ID, Logo, Mobile, Name

Searchable dropdowns (customer, product, account, branch...) read live data - start typing to filter rather than scrolling. Most also let you create the missing record inline so you don't lose the form you are in.

Edit a record

  1. Open the row's actions menu at the end of the row and choose Edit, or open the record and use Edit there.
  2. The form loads with current values. Change only what you need.
  3. Click Save.
Documents that are already posted to accounting, paid, or fulfilled lock the fields that would change history. That is deliberate - issue a refund, a credit note, or an adjustment instead of rewriting the original.

Export the list

  1. Filter and choose your columns first - the export mirrors exactly what is on screen, not the whole table.
  2. Click Export All.
  3. The file downloads as a spreadsheet: one row per record, your visible columns in your order.
