Notification Phone Numbers

Notification Phone Numbers is the list of numbers that receive your operational alerts - the low-stock warning, the new order, the failed payment, the driver assignment that did not complete. It answers one question: who finds out?

How alerts fit together

Two settings decide whether an alert reaches a human:

Configuring events without registering numbers produces alerts nobody sees; registering numbers without configuring events produces silence. Both halves have to be right, and each is usually set up by a different person on a different day - which is why alerting quietly fails in so many installations.

Set up your alert list

  1. Add a number per role rather than per person where you can - the branch manager's number, the warehouse number - so the list survives staff changes.
  2. Register the number in the format your provider expects, including the country code. A number that looks right and is missing a prefix simply never delivers.
  3. Match each number to the events it should receive in the Notification Center. A warehouse number does not need payment failures, and an owner does not need every order.
  4. Test each number by triggering one real alert. An untested alert list is an assumption, not a system.
  5. Review the list whenever someone joins or leaves.
Warning: Alerts to a departed employee's number are alerts to nobody - or worse, to whoever now has that number. Removing numbers is part of an exit process, and the number may since have been reassigned to a stranger.
Tip: Fewer alerts reach more people. A number receiving thirty notifications a day stops being read within a week, and the important one arrives in the middle of the noise. Send each number only what it must act on.
Note: WhatsApp notifications consume your WABA credit like any other message. If alerts stop arriving, check WABA Balance before assuming a configuration problem.

Every action on this page, step by step. What you see depends on your role, so a control your account is not set up for simply does not appear.

Add a record

  1. Click Add above the table - some pages label it New or show a + icon.
  2. Complete the form. Required fields carry a red asterisk and the form will not submit until they are filled.
  3. Click Save. Validation runs on submit; any field that fails shows its message directly beneath itself, and the form scrolls to the first problem.
  4. You land back on the list with the new record in place.

Searchable dropdowns (customer, product, account, branch...) read live data - start typing to filter rather than scrolling. Most also let you create the missing record inline so you don't lose the form you are in.

Edit a record

  1. Open the row's actions menu at the end of the row and choose Edit, or open the record and use Edit there.
  2. The form loads with current values. Change only what you need.
  3. Click Save.
Documents that are already posted to accounting, paid, or fulfilled lock the fields that would change history. That is deliberate - issue a refund, a credit note, or an adjustment instead of rewriting the original.
